Fill out an expense reimbursement form without printing it

October 31, 2026

An expense form should not need a printer just because somebody sent it as a PDF. If you already have the form your employer wants, you can fill a standard PDF in Document Forge and download a copy.

Here is a fictional example to show the process. Alex Morgan bought office supplies for $24.60 and paid $12.00 for parking on October 29, 2026. The total is $36.60. These details are made up; use your own approved form, actual expenses and your employer’s instructions. This page is a walkthrough, not a downloadable reimbursement template.

Get the form and receipts together

Save a clean original of the form before editing. Check what it asks for: the employee name, department, expense date, business purpose, amount, receipts and any approval fields. If a field belongs to a manager, leave it for the manager. Do not sign for somebody else.

Keep receipts as separate files unless your employer says otherwise. Document Forge does not combine receipts with the form or submit a claim for you. It also does not decide whether an expense qualifies for reimbursement.

Fill the fields that already work

  1. Open the PDF in the editor. Click the highlighted name field and enter Alex Morgan for this example.
  2. Enter the department and other identifying information the form actually requests. Use the expense date, not automatically today’s date.
  3. On the first expense line, enter Office supplies and $24.60. On the second, enter Parking and $12.00. Give the real business purpose in your own form.
  4. Check the arithmetic yourself and enter $36.60 in the total box. Do not assume a PDF will calculate it for you.

What if the form has no fillable boxes?

Choose Add text, click beside the printed line and enter one answer at a time. Drag it into place. Adjust Text size so the answer fits without making it unreadable. A printed checkbox needs the Checkmark tool; a working form checkbox can be clicked directly. The scanned-form guide covers this in more detail.

Sign only if this kind of signature is accepted

Check the recipient’s requirements first. If a visible electronic signature is suitable, choose Signature, draw or type your own name, and place it on the correct line. This does not verify identity or create a certificate signature or signing audit trail. An employer that requires its own signing service may not accept it.

Finish the paperwork

Use Review & download. Check both expense lines, the total, dates and any untouched approval section. Prepare the PDF, save it, and reopen the downloaded copy. Check every page, including pages without changes. Send that copy and the required receipts through your employer’s usual process.

Keep your original form and the finished copy. Download before clearing or closing the editor; unsaved work exists only in that tab.
